Important Information for Vendors

We must express our utmost excitement about your participation in Eclipseboro, the City of Hillsboro's extraordinary total solar eclipse event taking place from April 6th to April 8th, 2024! Currently, the City anticipates attendance ranging from 15,000 to 60,000 people on Monday, April 8th, and much less on Saturday and Sunday. Your presence means a lot to us, and we can't wait to make Eclipseboro an unforgettable experience together!

Important Payment Information:

 

We want to remind you that the final 50% of your vendor fees are due. If you have not already paid, please check your email for an invoice with a link to pay online, or email us at info@eclipseboro.com and we will send you one. Your commitment to Eclipseboro is truly appreciated, and your remaining balance ensures your spot at this extraordinary event.

 

Dates and Participation:
​

Your vendor rate covers participation on Monday, April 8th, with Friday, Saturday, and Sunday included at no extra cost, if selected for those dates. Attendance on Saturday and Sunday is optional for vendors. Please triple-check your placement on our venues and days list and reach out if you prefer not to participate on Saturday and Sunday. Monday is our time to shine, and there may be much lower visitation the preceding weekend. 

 

We are currently in the process of finalizing a comprehensive map of each venue. Stay tuned! 

 

Event Locations & Shopping Hours:

Main Street Eclipseboro (Downtown Hillsboro):
​

Main Street Eclipseboro is Hillsboro's historic downtown district and courthouse square. In the days leading up to the eclipse, regional visitors will visit this historic activity center, the heart of Eclipseboro. On eclipse day and the preceding weekend, the courthouse lawn will be open to visitors and will feature yard games (ex. cornhole, giant jenga), picnic tables, festive decorations, and photo ops. Food trucks, vendors, and a stage with live music will be set up on the square. We will have live music with local and regional artists on Saturday and Sunday. On Monday we will have an eclipse viewing party with totality emcee, and a free hospitality suite will be open to the public at Historic City Hall. We expect a massive influx of tourists on Monday, April 8!

Eclipseboro Park (Wallace Park):
​

Eclipseboro Park is pastoral and family-friendly - major draws for eclipse tourism. Over 200 people will be tent-camping at the park with folks starting to trickle in on Thursday. On Friday before the eclipse, Hill College and Eclipseboro have partnered to host a Star Party in the Park with telescopes and astronomy talks (no vendors needed for this event). On eclipse day, we estimate an additional ~1200 people will arrive to view the eclipse. This is the day we need vendors! The park is the only Eclipseboro location with pre-reserved viewing and we have officially SOLD OUT! In addition to standard day passes, Eclipseboro Park is also hosting an exclusive astrophotographer's zone, drawing eclipse enthusiasts from all over the world (also sold out). Eclipseboro Park is the perfect site to connect with nature, bask in totality, and cater to a niche audience of eclipse-chasers.

  • Vendor Placement: Vendors will file into the designated zone (see map above) in the order in which they arrive. 

  • Shopping Hours: Mon 10am - 5pm

  • Setup: Monday 7am

  • Expectations: Low attendance Friday-Sunday, around 1200 people are registered for Monday :)​

Eclipseboro Landing (The Outlets):
​

Eclipseboro Landing is a festive and highly visible celebration at the former Outlets at Hillsboro on I-35. The North Outlet Mall will feature the Cosmic Cowboy Eclipse Festival - a 3-day country music concert and eclipse-viewing event.  The South Outlet Mall will host an eclipse carnival with food, beverage, vendor fair, and local art gallery. The City is listing paid parking on Monday for a drive-in eclipse experience or convenient access to the Cosmic Cowboy event next door.

  • Setup: Friday 8am, Sat & Sun 8am, Mon 7am

  • Attendance Expectations: Moderate to high attendance Friday-Sunday; extremely high attendance on Monday.

  • Complimentary vendor Wi-fi provided by Rise Broadband. Password will be provided upon arrival.

Preparation Details:

 

Please recall your application details, specifically regarding your electricity requirements and the number and type of outlets you initially specified. If there are any changes to these requirements, kindly inform Rebecca at rpustejovsky@hillsborotx.org

For your setup, consider the following:

  • Prominent signage displaying your brand name on your booth or food truck

  • Tables, racks, shelving, and seating

  • Business cards

  • Credit card reader

  • Sufficient change

  • Snacks and water

Totality Guidelines:

 

Totality, a captivating moment lasting 4 minutes and 23 seconds, will grace us on Monday, April 8th, from 1:38 pm to 1:43 pm. We kindly request all vendors to temporarily halt operations during this period. Please turn off all lights and equipment and refrain from making sales during this brief duration.

 

Our dedicated Eclipseboro staff and volunteers are working tirelessly to mitigate light and noise pollution, ensuring an uninterrupted experience for our visitors. Lights, sounds, and distractions can detract from this unique event, so we encourage everyone to pause and immerse themselves in the beauty of totality. Your cooperation in creating a serene atmosphere during this special moment is highly appreciated. Let's make it an awe-inspiring experience for all Eclipseboro attendees!

 

Anticipating Changes & Weather:

 

A total solar eclipse event is a rare occurrence that draws throngs of visitors. With this comes some logistical challenges, and some details may be unknown. Rest assured, we are doing our best to anticipate every outcome. In the event of changes, we will keep you promptly informed. Eclipseboro staff will do our best to curate quality vendors and group merchants in a way that best accommodates visitors and venue programming. This may require occasional updates. Flexibility is greatly appreciated.
